Scheduling Instagram posts: formats, limits and requirements

By the Okashare team · Published · 4 min read

Short answer. A scheduling tool can publish photos, Reels, carousels and Stories to an Instagram professional (Business or Creator) account through Meta’s official publishing API. Photos must be JPEG, a carousel holds up to 10 items, and Meta documents a limit of 100 API-published posts per account in any 24-hour period. Personal accounts cannot be published to through the official API.

Instagram’s rules for scheduled posts come from Meta’s content publishing documentation. This page collects the ones that matter when you plan a month of posts, so a post that cannot go out is caught before the day it is due.

Who can publish#

Publishing through the API is for Instagram professional accounts: Business or Creator. A personal account has no publishing API, so a tool that says it can schedule to one is either sending you a reminder to post by hand or is not using the official API.

Two connection routes exist. Instagram’s own sign-in works for the professional account directly. The route through Facebook sign-in needs the Instagram account to be linked to a Facebook Page, and finds the account through that Page. If the Page requires Page Publishing Authorization, Meta blocks publishing until that is completed.

What can be published#

Format What it is The rule that catches people
Photo A single image post JPEG only. Meta’s documentation says other formats are not supported, and neither are the extended JPEG variants MPO and JPS.
Reel A single video published as a Reel Instagram checks the video after upload; a file that does not meet its requirements is rejected with an error.
Carousel Up to 10 photos, videos or a mix Every photo is cropped to the shape of the first one, square by default. Put the item with the shape you want first.
Story A photo or video that disappears Supported by the API, though not every tool offers it.

Captions on Instagram are limited to 2,200 characters and 30 hashtags.

The limits#

  • 100 posts per account per 24 hours. Meta documents a limit of 100 API-published posts within a 24-hour moving period, counted when the post is published, and a carousel counts as one. The same page gives 50 in its carousel section, so a careful tool stays under the lower figure.
  • 400 prepared posts per account per 24 hours. Meta’s reference for the media endpoint says an account can create at most 400 containers in a rolling 24-hour period, which is a separate limit from the 100 published posts.
  • A prepared post expires after 24 hours. Publishing is a two-step process: the tool creates a media container, then publishes it. A container that is not published within 24 hours expires.
  • Video takes time. After a video is uploaded Instagram processes it, and the container reports IN_PROGRESS until it is ready. Meta suggests checking about once a minute for no more than five minutes. A tool has to wait for FINISHED before it publishes.

Why a scheduled Instagram post fails#

  1. The photo is not a JPEG. A PNG or WebP link is refused. Tools that accept uploads usually convert them first; Okashare does.
  2. A video is still processing. If Instagram has not finished with a video when the tool stops waiting, the post is not published.
  3. The account lost its link to a Page, or its permissions. Reconnect the account.
  4. The post was prepared too early. A container older than 24 hours has expired.
  5. The daily limit was reached.

Public from the first second#

An Instagram Business or Creator account has no private option. A scheduled post is public the moment it publishes, so the approval you give before the minute is the last chance to change it.

What Okashare does#

Okashare schedules Instagram Reels and single-photo feed posts from its console, converts PNG and WebP photos to JPEG, waits for Instagram to finish processing a video, and shows each failure in plain words with a retry. It does not publish carousels or Stories from the console. Only Okashare’s own Instagram accounts can be connected today; the Instagram scheduling page has the current status.

Frequently asked questions#

Can I schedule Instagram posts from a personal account?#

Not through the official API. Meta’s publishing API is for professional accounts, so a personal account has to be switched to Business or Creator first.

Do I need a Facebook Page to schedule Instagram posts?#

It depends on the connection route. The route through Facebook sign-in needs the Instagram account linked to a Facebook Page. Instagram’s own sign-in route does not.

How many posts can I schedule per day?#

Meta documents 100 API-published posts per account in a 24-hour moving period, and a carousel counts as one. Meta’s documentation also gives 50 for carousels, so it is safest to stay under that.

Why must photos be JPEG?#

The API only accepts JPEG for photos. A tool can accept other formats from you if it converts them before publishing.

Can a scheduling tool publish Instagram Stories?#

Yes, Meta’s API supports Stories for professional accounts, but not every tool offers them.
